提升郵件溝通效率的4大招
工作中,我們很多人每天要處理十幾封甚至上百封郵件。因此,我們給對(duì)方發(fā)的郵件如果能做到既專業(yè)又得體的話,可以節(jié)約對(duì)方很多時(shí)間,也可以為自己贏得很多印象加分。
1. Don’t overcommunicate by email. 不是所有事情都只能通過(guò)郵件解決
太多的郵件往來(lái)容易給職場(chǎng)人士帶來(lái)不必要的壓力。所以在寫(xiě)郵件之前,可以先問(wèn)問(wèn)自己:非得用寫(xiě)郵件嗎?如果事情需要和對(duì)方多次來(lái)回才能解決,那么不妨先用phone 或者IM來(lái)溝通。其次,如果是要告訴對(duì)方不好的消息,那就盡量別使用email。
2. Make good use of subject lines. 郵件主題要小心
郵件主題的寫(xiě)作要求和技巧在之前的文章中談過(guò)很多,其核心的要求就是要簡(jiǎn)潔且有總結(jié)性。成功的郵件主題可以讓收件人在打開(kāi)郵件之前就知道你要說(shuō)什么事,并且決定是否要打開(kāi)你的郵件。讓我們來(lái)看2個(gè)例子,相信大家看完這兩個(gè)例子之后就能夠體會(huì)到合格的主題和不合格主題的區(qū)別了。

3. Keep messages clear and brief 表達(dá)清晰簡(jiǎn)潔
和傳統(tǒng)的商務(wù)信函一樣,商務(wù)郵件也需要做到邏輯清晰、表述清晰準(zhǔn)確。一般來(lái)說(shuō),郵件的正文一般包含3大部分:背景信息交換、行動(dòng)說(shuō)明(需要做什么或者你將做什么)和訴求(提前感謝對(duì)方的幫助等)。這一點(diǎn)大家可以通過(guò)閱讀下面兩封郵件來(lái)體會(huì)。

Subject: Revisions For Sales Report
Hi Jackie,
Thanks for sending that report last week. Iread it yesterday, and I feel that Chapter 2 needs more specific informationabout our sales figures. I also felt that the tone could be more formal.
Also, I wanted to let you know that I'vescheduled a meeting with the PR department for this Friday regarding the new adcampaign. It's at 11:00 a.m. and will be in the small conference room.

4. Check the tone. 注意措辭
商務(wù)郵件按照溝通對(duì)象身份地位的不同可以分為垂直溝通和平級(jí)溝通。垂直溝通多為上級(jí)對(duì)下級(jí)的溝通,平級(jí)溝通多為同事之間的溝通。垂直溝通通常比較簡(jiǎn)短直接,平級(jí)溝通通常要更加禮貌一些。
